Description:

An exciting role is available for an ‘operations manager’ to join a global shipping agency to be based in Walvisbay.

Responsibilities:
Managing

  • Ensure the implementation of Company policies and the adherence to Company procedures as outlined in the Quality Management System.
  • Maintain current ETA list.
  • Ensure that correct tariffs are used by the department when preparing Pro Forma Disbursement Accounts
  • Perform the duties of a Marine Representative as and when required.
  • Keep abreast of current industry trends, including changes in the port of Walvis Bay.
  • Maintain contact with industry role-players and identify possible business development opportunities.
  • Ensure that the relevant Group IT Applications are fully utilized by the department.

Disbursement Accounts

  • Ensure required funds are received prior to vessel arrival.
  • Revise estimated expenses and request additional funds if required once vessel sails, or prior to vessel sailing if it has been in port for longer than expected, or if additional work has been carried out.
  • Follow up on any outstanding invoices and ensure that they are received within 18 days of the vessel sailing.
  • Check invoices and Disbursement Accounts for correctness prior to it being sent to the client.
  • Promptly pursue and recover any outstanding funds from Principals.
  • Gather necessary information from principal and prepare competitive PFDA.
  • Complete necessary paperwork in line with the QMS prior to vessel arrival.
  • Attend to the requirements of the ship in line with purpose of call as outlined in the QMS.
  • Liaise with suppliers/service providers to arrange on time delivery of service/goods.
  • Liaise with all relevant parties and keep them informed of vessel’s progress.
  • Promptly respond to client queries and complaints.
  • Keep accurate and systematic records of all correspondence and documents relating to a vessel call.

Requirements: Qualification and Skill

  • No less than 5 – 7 years’ experience within the ships agency role and within a similar role
  • Relevant qualification and industry specific experience – Ships agency: Offshore experience (essential)
  • Experience setting up shipping operations
  • In depth knowledge of port operations WALVIS BAY PORT REGULATIONS
  • Good communication skills (Written and Verbal)
  • Good people skills
  • Organisational Skills (Able to multi-task and prioritize)
  • Good understanding of profits, losses, commissions and costings
  • Ability to work under pressure
  • Team player with ability to operate and make decisions independently
  • Highly flexible and adaptable
